SECURITY

How APEX keeps your
order data secure.

Your purchase orders contain customer details, pricing and delivery addresses. APEX keeps each client’s data in its own dedicated instance on Microsoft Azure, encrypted at rest, with a person approving every order before it reaches NetSuite.

Hosted in Microsoft Azure

APEX runs on Microsoft Azure, the same cloud platform trusted by large enterprises and governments.

Encrypted at rest

Purchase order documents and extracted order data are encrypted at rest.

A dedicated instance per client

Each client runs on its own dedicated APEX instance, so your orders, documents and settings are never stored alongside another company’s.

A person approves every order

Nothing reaches NetSuite without human sign-off. Uncertain items, price mismatches and possible duplicates are flagged instead of guessed.

Native NetSuite API

APEX creates sales orders through NetSuite’s own API, with no screen-scraping, spreadsheets or file drops in between.

Access control and audit trail

Role-based access controls who can review and submit orders. Every sales order links back to its source document, and every reply and forward is logged against the order.

How data moves through APEX

  1. Mailbox. APEX connects to your Microsoft 365 order mailboxes through Microsoft’s Graph API and checks them every 5 minutes for new purchase orders.
  2. Extraction. Each purchase order is read by APEX’s AI extraction, which pulls out the customer, PO number, dates, delivery address and line items.
  3. Storage. The document and the extracted order are stored in your dedicated instance on Microsoft Azure, encrypted at rest.
  4. Review. A member of your team checks the order beside the original document and approves it.
  5. NetSuite. The approved sales order is created in your NetSuite account through the native NetSuite API, linked to its source document.
